Terms & Conditions

In order to ensure that we provide optimal care to all our clients we kindly ask you to read through and agree to our terms and conditions, which are outlined below:

  1. Appointment Scheduling:

Clients may schedule appointments through our online booking system, by phone, or in person.

Same-day appointments can be offered subject to availability.

We ask that you arrive for your appointment on time, in order to minimise disruption to the clinic’s schedule.

Initial Consultations:
Appointments booked over the phone will receive a secure payment link that must be completed prior to the appointment.

Some online bookings may require upfront payment at the time of scheduling.

  1. Cancellation policy:

Clients are required to provide a minimum of 24 hours’ notice for appointment cancellations or reschedule an appointment.

Cancellations made with less than 24 hours’ notice may incur a fee equal to 50% of the appointment cost.

Missed appointments or no-shows may be charged the full fee.

  1. Fees and Payments:

Consultation fees are due at the time of service unless otherwise agreed or stated to pay upfront via the website.

Accepted payment methods include cash and credit/debit cards.

We do not accept cheques or Paypal payments.

Fees are reviewed periodically and may be adjusted with prior notice. Patients will be informed at least two weeks in advance of any planned price changes.

  1. Health Insurance:

Patients using private health insurance (including Vitality, Simplyhealth, or WPA) are welcome.

If patients wish to attend for a treatment after a Health insurance plan referral, the clinic will issue an invoice for the treatment but full payment will be taken directly from the patient at the time of service.

Please make sure that you have obtained your claim reference number before attending your appointment.

Patients requesting invoices for health insurance claims must request these at the time of their appointment.

Requests made after the appointment date will incur an administrative fee of £40 to cover the time and resources required for processing retrospective claims.

  1. Treatment Plans:

Podiatric treatment plans will be discussed and agreed upon before any procedures or therapies commence.

Clients are encouraged to seek clarification and ask questions about their treatment plans.

As part of your podiatric care plan, your commitment to the rehabilitation process is crucial for achieving optimal outcomes and ensuring a swift return to normal activities. To maximise the effectives of the rehabilitation program, it is essential that you follow the prescribed exercises and activities as instructed, attend scheduled follow-up appointments for progress assessments and report any unexpected changes or difficulties during the rehabilitation process. While I will do my best to assist you and help fulfil your goals, it’s important to note that no treatment guarantees specific outcomes.

  1. Minors- Under 16

Patients under the age of 16 must be accompanied by a parent or legal guardian, who must provide consent for treatment.

The clinic reserves the right to refuse treatment if appropriate consent is not obtained.

7. Referral Letters to GPs

Referral letters to General Practitioners (GPs) will incur a charge of £20 per letter per patient.

Referrals deemed urgent will not be subject to this fee.

8. Sign Orders

Sign orders for the request of medications, such as antibiotics, will be charged at £20. This applies when the patient qualifies for the recommendation, and a referral to the GP is not necessary.

9. Supporting Letters

Patients may occasionally request a supporting letter summarising clinical findings and treatment provided at the clinic. These letters are prepared from existing consultation notes and may include information such as diagnosis, treatment recommendations, and the rationale for interventions such as insoles or footwear advice.

As preparation requires review of clinical records and written documentation, a fee of £40 applies.

Please allow up to 5 working days for the letter to be prepared.

10. Gift Vouchers and Prepaid packages

Gift vouchers and prepaid treatment bundles must be used within 6 months of purchase.
They are non-refundable and non-transferable.

11. Late Arrival Policy

If you arrive late for your appointment, treatment time may be reduced to avoid delays for other patients. The full fee will still apply.

12. Refunds

Refunds are not provided for completed treatments or packages. However, where appropriate, alternative appointments or services may be offered at the clinic’s discretion.

13. Data Protection

All patient information is handled in accordance with GDPR and current data protection legislation.

Patient records are treated as strictly confidential and will not be shared without consent, except where legally required.

14. Variation of Terms

Quantum Footcare reserves the right to update or amend these Terms & Conditions as required.

Any significant changes will be communicated in advance via the clinic website or email notice.
